SUMMARY:

  • Under the general and direct supervision of the Patient Coordinator
  • Provide clerical, secretarial and receptionist support independently and with minimal supervision

RESPONSIBILITIES:

  • Maintain a patient treatment schedule consistent with the needs of the facility
  • Schedule, greet, and escort patients and visitors to the appropriate areas or facility personnel
  • Maintain responsibility for general secretarial support functions to ensure efficient utilization of time, in part by scheduling meetings, patients, and follow up appointments, maintaining calendars coordinating with facility services, and coordinating in-services education arrangements, and patient record keeping
  • Collect required insurance co-payments, document in the computer system, and reconcile to the daily schedule
  • Reconcile deposit to the daily schedule and prepare the deposit for banking purposes
  • Screen and refer incoming phone calls and department visitors to ensure accurate, timely, and positive department communication, facilitation, and presentation
  • Maintain facility correspondence to facilitate on-going communications and efficient department operations
  • Maintain appropriate records, filing, and archive system for expeditious information retrieval
  • Demonstrate regard for the dignity and respect of all patients, family members, staff, and visitors
  • Respect and understand the patient's right to treatment and right to involvement in treatment decisions
  • Maintain proper attendance and punctuality to ensure the facility is operated in an efficient and cost-effective manner
  • Perform daily walk through of facility to maintain the “Clean Audit” policies and procedures
  • Route charts and records to appropriate areas in a timely and extremely accurate manner, ensuring confidentiality of all records
  • Maintain and notify the Central Business Office of all changes in patient demographics, diagnosis, and any other pertinent information in an extremely accurate manner
  • Maintain appropriate medical record requests and notify the Central Business Office of the requests for release of information, ensuring confidentially according to the HIPAA regulations
  • Maintain proper, courteous, and helpful telephone etiquette
  • Demonstrate efficient time management allowing for flexibility and the ability to work as a team member and in an organized manner
  • Perform other diverse duties as requested or required
